A Northgate Training Game
Managing Time lets you take on the challenge of planning for one month in the life of a busy manager. First you know your short and long-term objectives which will be key to effective prioritising. Then your four-week diary is completed to take account of all regular, routine work plus those tasks you decide, as manager, YOU must do. As well you have a delegation form to list tasks not scheduled in your diary which you delegate to one of your three members of staff (and for whom you know their strengths and availability).
The ultimate time management game tests three key skills: prioritising, diary planning and delegating - and gives you a score. Achieve 90% and you’re great at managing time! Any less and there’s definitely room for improvement!
At the end of the activity your plans are easily entered into the computer for analysis. A detailed report of your managing time abilities and a final score is printed for each team.
Participants, working in teams (or as individuals if you prefer), represent a busy sales manager, Robin Self, who needs to schedule the diary for the coming four weeks.

These must all be scheduled into the diary. But apart from the logistics of fitting tasks into the time available, teams need to consider the nature of the tasks. Along with the brief descriptions of each job they are given details of Robin’s short-term and long term objectives.
Alert teams will use all this information to help prioritise which tasks need doing in the short term, which have deadlines that fall within the four-week period, and so on.
But Robin need not take on all the tasks. There are three members of staff to whom work can be delegated - so teams must choose which tasks to delegate - and to whom. They have some information about their staff and can obtain, on request only, further, helpful information: the staff diaries, their availability – and specific pieces of information such as, “Does Wendy speak French?”. All this is provided for the Trainer to issue.
The activity soon generates lots of debate leading eventually to decisions that are recorded on two forms a Diary Form and a Delegation Form.

“I use this activity as the opening activity in our ‘Supervision & Delegation’ training with small groups of employees new(ish) to line management or supervisory role. The best learning points are: gather information about commitments of your staff; criteria used to decide who is delegated which task; tasks to do yourself versus delegate to others criteria; the need to get organised to do a good job of delegating; the need to be mindful of your personal/team/departmental objectives; don’t cram calendars and don’t leave things to the last minute.
Managing Time introduces these key concepts and paves the way for covering ‘performance agreements’ and situational leadership. I am very happy with this activity. Challenging and flexible – can be debriefed in various ways depending on the interests/needs of the group. Brilliant!”
